Terms and conditions
Last updated: 28 October 2026
These terms apply whenever you book work with Little Helpers AI. We've written them in plain English. Please read them before you book.
1. About us
Little Helpers AI is a trading name of Alex Findley, a sole trader in England ("we", "us"). Email: hello@littlehelpersai.co.uk. Address for service: 15 Alfriston Road, Paignton, Devon, TQ3 3FR.
We're not VAT registered.
2. Who we work with
Our services are designed for businesses, sole traders and people acting for their business. If you book with us mainly for personal purposes, you are a "consumer" and sections 14.6 to 14.7 also apply to you. Every client gets the 14-day cooling-off in section 14. Nothing in these terms takes away rights you have by law.
3. What we do and how it's agreed
- We offer remote quick-win sessions, a plan and audit of your business, setup of AI tools and simple automations ("helpers"), optional monthly care, and extra time when you need it.
- Before any setup work we'll send a short written scope: what's included, what isn't, the price and rough timings. Once you accept it by email, the scope and these terms form our agreement. If they conflict, the scope wins, except that a scope can't take away your rights under section 14 or the law.
- Anything not in the scope is extra. If you'd like more, we'll agree it in writing, with any extra cost, before we do it.
4. Prices and payment
- Your first chat and our written proposal are always free and come with no obligation. You only pay once you've booked paid work.
- Prices are as shown on our website or in your written scope at the time you book.
- We're not VAT registered, so no VAT is added to our prices or invoices.
- Quick-win sessions last 90 minutes, cost £79 and are paid when you book. Our promise: if we can't find anything useful to do in the session, tell us and we'll refund the full session price within 14 days.
- Plan and audit is paid when you book. If you book it within 60 days of a quick-win session, the session's £79 is taken off the plan and audit price. If you book a setup within 60 days of your plan and audit, £125 of the plan and audit price is taken off the setup price.
- Setup work is paid in two halves: half when you accept the written scope and half at go-live. If either of us ends the project before go-live, you'll pay only for the work done up to that point, worked out from the scope, and we'll refund any part of the first payment that hasn't been used within 14 days. After go-live you get 14 days of free tweaks: small fixes to the helpers we set up. New work is quoted first.
- Starting on Care Plus. If your written scope says you'll start on Care Plus when your helpers go live, setup is £995 instead of £1,195. If you also have the £125 plan and audit credit, it still comes off, so setup is £870. You pay half when you accept the written scope (£497.50, or £435 with the credit) and half at go-live. If you cancel or move down from Care Plus within your first 6 months, the £200 setup saving is added to your final or next invoice (if you pay yearly, it's taken off your refund instead). This doesn't apply if you cancel within your 14-day cooling-off period (see section 14).
- Monthly care comes in three levels: Core, £299 a month with up to 2 hours of changes a month; Pro, £449 a month with everything in Core, plus up to 4 hours of changes a month and a monthly report; and Care Plus, £649 a month with everything in Pro, plus up to 6 hours of changes a month. Each level includes everything in the level below. It's billed monthly in advance. Unused hours don't roll over to the next month. Anything more is charged as extra time, and we'll ask you first. You can cancel at any time, with effect from the end of the month you've paid for. There's no minimum term. If you cancel or move down from Care Plus within your first 6 months, the £200 setup saving is added to your final or next invoice (if you pay yearly, it's taken off your refund instead). This doesn't apply if you cancel within your 14-day cooling-off period (see section 14). On Core and Pro we aim to reply within 2 working days, including during setup. We log time in 15-minute blocks. On Pro and Care Plus, the monthly report (with your time log) comes within 5 working days of the month end.
- Care Plus also includes the monthly report and priority response: your requests are dealt with first, and we aim to reply within 1 working day.
- Moving up a care level. You can move up to a higher care level at any time. You pay the difference between the two monthly prices for the rest of your current month, pro-rated, and the new price from your next month. If you pay yearly, you pay the difference between the two yearly prices for the rest of your care year, pro-rated. If you're a launch client, you keep your launch discount when you move up: the 20% off applies to the new level for the rest of your first 3 months, or, if you paid a first-year launch price, you pay the difference between the two first-year launch prices, pro-rated for the rest of your first year.
- Moving down a care level. You can move down to a lower care level at any time, with effect from the end of the month you've paid for. If you pay yearly, you can move down by cancelling your year (refunded as set out under annual care prepay) and moving to the lower level. There's no fee for moving down. If you cancel or move down from Care Plus within your first 6 months, the £200 setup saving is added to your final or next invoice (if you pay yearly, it's taken off your refund instead). This doesn't apply if you cancel within your 14-day cooling-off period (see section 14).
- Annual care prepay. You can pay 12 months of any care level up front at 10% off the monthly price (£3,229.20 for Core, £4,849.20 for Pro or £7,009.20 for Care Plus). The included hours are still per month and don't roll over. You can cancel at any time. We'll refund what you paid, less the full monthly price for each month that has started, within 14 days. If you cancel or move down from Care Plus within your first 6 months, the £200 setup saving is added to your final or next invoice (if you pay yearly, it's taken off your refund instead). This doesn't apply if you cancel within your 14-day cooling-off period (see section 14). Yearly plans don't renew automatically. We'll remind you 30 days before your year ends, and you choose another year or monthly care.
- Referral credit. If you're an existing client and a business you refer to us pays a setup deposit, you get a £75 credit. If the business you refer starts on Care Plus, or if you're on Care Plus yourself, the credit is £150. It comes off your next monthly care payment, or any other invoice from us. It isn't paid out as cash, it expires 60 days after we issue it, and there's no limit on how many you can earn. The business you refer needs to mention you when they first get in touch. Where the credit is £150 because the business you referred started on Care Plus: if the business you referred leaves Care Plus within 3 months, the credit drops to £75; if the £150 has already been applied, the extra £75 is added to your next invoice.
- Extra time is £85 an hour or £600 a day on Core and Pro, and £75 an hour on Care Plus, agreed with you before we start. A day is 7.5 hours. The day rate is for Core and Pro only: on Care Plus a full 7.5-hour day is £562.50. If you're on Core or Pro and pay for extra time 2 months in a row, we'll suggest moving up to Care Plus.
- Launch offer. Our first 5 clients get 20% off monthly care for their first 3 months of care. A place goes to each of the first 5 clients to pay a setup deposit. A quick-win session or plan and audit on its own doesn't take a place. The discount applies to monthly care only, not to setup or other work, and it's not a permanent price: full care prices apply from month 4. If you're one of the first 5 clients and you pay for a year of care up front, you pay £2,999 (Core), £4,599 (Pro) or £5,999 (Care Plus) for your first year. This special first-year price replaces both the 10% annual prepay discount and the 20% launch discount; they don't apply on top. From your second year, standard prices apply: yearly at 10% off, or monthly, whichever you choose. Nothing renews automatically. The launch discounts never apply to setup, plan and audit, quick-win sessions or extra time.
- We invoice by email. Invoices are payable by bank transfer within 14 days. If a business client pays late, we may charge interest and compensation under the Late Payment of Commercial Debts (Interest) Act 1998. For any client, we may pause work until overdue invoices are paid.
- Software subscriptions (for example an AI tool's monthly plan) are paid by you, in your name. We'll tell you the likely costs up front.
5. Rescheduling and cancelling
The free first chat and the proposal meeting can be moved or cancelled at any time, with no charge.
Once you've booked paid work, you can move or cancel a paid session free of charge with at least 24 hours' notice. If you cancel or move a booked paid session with less than 24 hours' notice, or don't turn up, the session price is payable, because we keep that time free for you and usually can't fill it at short notice. If we do manage to fill the slot, we'll refund you or move your booking at no charge. If you couldn't attend because of a genuine emergency or illness, tell us and we'll normally waive the charge.
If we have to move a session, we'll offer you a new time or a full refund for it.
This section doesn't affect your 14-day cooling-off under section 14.
6. Your accounts, logins and keys
- Everything we set up is in your name and on your accounts: email, calendar, AI tools, automation tools and API keys. You own them and stay in control.
- Where we can, we'll use invited or delegated access rather than your passwords. If we ever need a login, you'll enter it yourself or share it through a secure method we agree. We don't keep copies.
- You can remove our access at any time. When the work ends we'll remove ours and confirm it in writing, and we'd recommend you check who still has access to your accounts.
7. Your responsibilities
- Give us the access and information we reasonably need, on time.
- Check anything a helper drafts before it's sent or relied on, unless we've agreed otherwise in writing.
- Make sure you're allowed to use any data you ask us to work with, and tell your customers how you use AI where the law requires it.
- Keep your own accounts secure and backed up.
8. About AI: what to expect
AI tools can make mistakes. Their output can be wrong, out of date, incomplete or inappropriate, they can state wrong facts confidently, and the same request can give different answers. We set helpers up with care and build in checks, but we don't guarantee that any AI output is accurate, complete or fit for a particular purpose, or that a helper will save a set amount of time or money.
- Always check AI drafts before you send, publish or rely on them. Don't use AI output as the only basis for legal, financial, medical or safety decisions.
- We set tools up in your accounts and, where a tool allows it, switch off settings that let the provider use your data for training.
- We only put the information a task needs into AI tools. We never put passwords, card or bank details, or special category data (such as health information) into them.
- AI tools are provided by third parties under their own terms and privacy policies, which can change. We're not responsible for their outages, changes or prices.
9. Data protection and confidentiality
Where we handle personal data on your behalf, your business is the controller and we act as your processor. Before we start, we'll agree written data processing terms with you, as UK data protection law (Article 28 UK GDPR) requires. They will set out what data we handle, about whom, why and for how long, and commit us to:
- act only on your documented instructions;
- keep the data confidential, and make sure anyone helping us does too;
- keep it secure;
- use other providers (sub-processors) only with your permission and on the same terms, and tell you about any changes;
- help you respond to people using their data rights, and with security, breach reporting and impact assessments;
- return the data if you ask, and delete it within 30 days of the work ending; and
- give you the information you need to check we're keeping to these terms, and allow reasonable checks.
We keep your business information confidential and only use it to do the work. See our privacy notice and AI data policy.
10. Ownership
Once you've paid, the setups, prompts, automations and written guides we create for you are yours to use and change in your business. We keep the right to reuse our general know-how, methods and templates that aren't specific to you.
11. Liability
- For everyone: we'll do the work with reasonable care and skill. If we get something wrong, tell us and we'll put it right first.
- Business clients: we're responsible for losses that are a foreseeable result of us breaking these terms or not using reasonable care. We're not responsible for loss of profit, revenue, business, data or goodwill, or for indirect or consequential losses. Our total liability to you for everything connected with our agreement is limited to the total fees you've paid us in the 12 months before the claim.
- Consumers: we're responsible for loss or damage you suffer that is a foreseeable result of us breaking these terms or not using reasonable care and skill. We're not responsible for losses that weren't foreseeable, or for any business losses.
- We're not responsible for problems caused by third-party tools' own faults or outages, by content you send without checking it, or by changes made to a setup by anyone other than us, unless we caused them.
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else the law doesn't allow us to limit.
12. Ending our agreement
Either of us can end the agreement by email at any time. You'll pay for work done up to that point, and we'll refund anything you've paid for work not yet done (see section 4 for setup payments). Everything set up in your accounts stays with you, and we'll remove our access and confirm it in writing. We'll return your data if you ask, then delete it within 30 days.
13. General
If any part of these terms can't be enforced, the rest still applies. We may update these terms, but changes won't affect work you've already booked. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you're a consumer living in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
14. Your 14-day cooling-off (all clients), and extra rights for consumers
14.1 to 14.5 apply to every client. 14.6 to 14.7 apply only if you're a consumer.
- 14.1 Your right to cancel. You can cancel within 14 days, starting when you accept your setup scope and pay the deposit, without giving a reason. If you're a consumer, you also have 14 days from the day after you book any session. Email hello@littlehelpersai.co.uk with a clear statement or use the model cancellation form below. You just need to send it before the 14 days end.
- 14.2 Starting sooner. We won't start work in those 14 days unless you ask us to in writing ("start early").
- 14.3 If you cancel after asking us to start. You pay a fair amount for the work done and we refund the rest. If you don't ask us to start early, we refund your whole deposit.
- 14.4 Care Plus setup saving. The £200 Care Plus setup saving is never charged if you cancel within these 14 days.
- 14.5 Refunds. We'll refund anything due within 14 days of you telling us you're cancelling, using the same method you paid with, with no fee.
- 14.6 If you're a consumer and ask us to start early. Before we start, we'll ask you to confirm in writing that you understand you lose your right to cancel once the work is completely finished.
- 14.7 If something isn't done with reasonable care and skill. We'll redo it, or if that isn't possible or we can't do it within a reasonable time, give you a fair price reduction, which may be a full refund.
